Business Systems & Automation Analyst
Location: Remote - DC or Boston area preferred
Position Overview:
About the job
This remote position for a person located in the D.C or Boston area reports to the CFO and has visibility to the CEO and SRM leadership. It requires occasional travel and works closely with SRM India.
Purpose: Own day-to-day IT outcomes while accelerating innovation through AI, tooling, and workflow automation. This is an internal customer-facing role. You will meet with teams, learn how work actually happens, and support practical improvements that make SRM faster, safer, and more reliable.
Focus & Time Allocation
This role is designed to stay roughly 50/50 between:
- IT operations oversight and vendor management: Our IT Vendor handles frontline sysadmin and tickets; you own priorities, escalations, and outcomes.
- AI adoption, tooling, and automation: partner with teams to deliver practical improvements in the tools they use.
What You’ll Do
A) IT Operations Oversight & Vendor Management (approx. 50%)
- Own IT outcomes (availability, access, security basics, onboarding/offboarding) while the vendor handles routine sysadmin work.
- Triage VIP/high-priority issues; coordinate escalations and incidents; provide clear status updates.
- Set and monitor SLAs with the vendor; run regular reviews and drive root-cause fixes.
- Keep core systems running: Microsoft 365 (Entra ID, Teams, SharePoint, OneDrive), Salesforce, Wrike, Sage/ERP, and approved SaaS.
- Improve information architecture and governance for SharePoint/Teams/OneDrive (structure, naming, permissions) to increase findability.
- Evaluate and roll out new tools and integrations; coordinate security review, licensing, rollout, and training.
- Keep IT work visible: maintain an executive-friendly view of requests, changes, risks, and wins.
- Maintain an IT inventory: systems, access, owners, licenses, devices, and integrations.
- Maintain a searchable IT Playbook (runbooks + diagrams) and keep it current.
- Maintain CEO/CFO emergency coverage: “if something is down” guide, vendor contacts, escalation path, and secure emergency access.
B) AI Enablement, Tooling & Automation (approx. 50%)
- Run regular discovery sessions with Admin and Delivery; capture requirements and maintain a prioritized backlog.
- Maintain an executive-approved AI/automation roadmap tied to measurable impact (time saved, cycle time, quality).
- Coordinate with vendors to implement tool improvements and integrations.
- Implement continuous improvements through automation, integrations, and AI-enabled workflows; prioritize by impact and effort.
- Provide enablement via office hours and a daily help window; respond within 24 hours on business days.
- Document solutions with short how-tos; maintain a searchable catalog and share highlights monthly.
- Promote safe AI use (data handling, verification, quality checks) inside approved tools.
What You’ll Bring
We are open to early-career and new-graduate candidates.
- Bachelor’s degree in Computer Science, Information Systems, Engineering, or related field preferred (comparable hands-on experience considered, including internships and projects).
- 0-3 years of experience in IT, systems, technical operations, or automation (new grads with strong internships/projects welcome).
- Comfort with Microsoft 365 fundamentals.
- Uses AI tools in real workflows; tests, measures, and iterates (not “demo-only”).
- Strong customer-facing communication and documentation; reliable follow-through.
- Excitement about AI and automation and how it can improve the business and employees’ work experience.
- Strong ability to work cross-functionally and partner with employees.
Nice to Have
- Familiarity with Salesforce, Wrike, Sage/ERP, or SharePoint information architecture/migrations.
- Experience working with an MSP/vendor and tracking SLAs/metrics.
- Microsoft fundamentals (M365/Entra/Intune) or ITIL certifications are a plus.
- Interest in security and governance (least privilege, access reviews, audit readiness).
